Case Study - Empowering Growth: Transforming Data into Action

Background and Problem

One of our success stories involves a £12m turnover company that was heavily reliant on a single operational spreadsheet. Their decision-making process suffered from incomplete data, making it difficult to gain a comprehensive understanding of their operations.

The absence of standardised data analysis protocols and time-consuming data collection, from various sources, hindered their ability to make accurate, data-driven decisions.

Solution

We were brought in to develop a suite of operational and financial dashboards.

Consolidation and cleansing of data, using Power Query and DAX, from different data sources (case management system, finance system and Excel databases) to allow cross-border data visualisation.

Proactive management information, driven by Power BI and Power BI Report Builder subscriptions, allowing daily data delivery to key individuals to rapidly identify changes in business critical KPIs.

Generation of What-If Power BI Reports consisting of in-depth analysis of Business Information allowing for identification of previously unseen trends or forecasting, enabling improved Business Intelligence.

Impact

The impact of our solution was transformative. Clear and reliable visualisations of business data across multiple sources saved valuable time for key personnel and significantly improved morale and efficiency. Furthermore, scheduled data insights delivered directly to their email inboxes enabled swift reactions to changes in internal KPIs, fostering adaptability in an ever-changing business environment.

Most importantly, our data-driven approach nurtured a culture of informed decision-making within the organisation. This led to an impressive 10% year-on-year growth, including during the challenging times of the pandemic.

If this resonates with you, we’ll be happy to talk with you about the opportunities in your organisation. Contact us now, without obligation.

Streamlining Operations and Enhancing Efficiency: A Case Study on DPA and RPA Implementation for Automated Processes and Improved Productivity

Background and Problem

Prior to our engagement the organisation delivered Customer Invoicing via a highly manual process, bringing together information across multiple siloed systems followed by manually emailing to over 200 customers. The process was time consuming, error prone and resulted in at least two data breaches.

They also were facing the issue of importing B2B communications into their internal Case Management Software. The case management team were wasting hours per day on manual data entry detracting from the time available to manage their cases.

Solution

We were brought in to assist the delivery of process automation for the creation and scheduled dissemination of monthly invoicing Customer MI as well as automated transformation and entry of customer instructions.

We developed a digital process automation (DPA) solution using Microsoft Power Automate platform that automatically generates monthly invoices directly from their finance system and subsequently emails it to the correct customer.

We also developed robotic process automation (RPA) using Microsoft Power Automate Desktop, that integrates inbound information from clients with their on-premises Case Management Software and generates outbound communication which integrates directly with the customer’s system.

Impact

The DPA solution eliminates manual input, dramatically speeds up the process and removes the risk of data breaches. The overall solution saves the company 10 days of effort per month.

The development of the RPA process eliminates the usually disliked repetitive manual tasks of data entry from one system to another boosting the team morale and allowing them to repurpose the time to more pressing business matters.

A Case Study on Process Standardization and Power BI Reporting Implementation

Background and Problem

A large charity organization with over six hundred employees faced challenges with an outdated and manual reporting process. The data recorded lacked standardization, resulting in poor data quality and limited access to valuable business insights.

Solution

Our intervention focused on standardizing processes and implementing HR and operational dashboards.

We assisted the organization in the meticulous data cleansing process. By creating error reports, we identified and addressed issues such as incorrectly formatted, missing, and inconsistent data in their existing databases.

To improve overall data quality and minimize the need for subsequent cleansing, we strengthened the organization’s spreadsheet databases. We introduced data validation, error identification mechanisms, and implemented protective measures.

We revamped internal data management processes and implemented automated Power BI reporting. This empowered the management team to make evidence-based decisions by providing them with clear, visualised insights.

We conducted knowledge transfer sessions to equip the internal team with enhanced data analytics skills. This ensured the sustainability of the implemented solutions and fostered ongoing data-driven practices within the organisation.

Impact

Our efforts yielded significant results, benefiting the charity organization with clean and consolidated datasets that empowered data visualisation.

We created a unified and reliable “one version of the truth” dataset, eliminating data inconsistencies and enabling clear and unambiguous reporting. This allowed the organization to confidently engage in regulatory inspections and meet compliance requirements.

With the implemented solutions, the charity organization gained the ability to produce their own data visualizations and dashboards. They now have the tools to effectively communicate data insights, identify hidden trends, and drive informed decision-making across various departments.

By transforming their manual reporting process and establishing robust data management practices, the charity organization experienced improved data quality, streamlined operations, and a stronger foundation for data-driven decision-making.
